Quick answer
Quick answer
Use layers: discreet transport, controlled cases, one-card handoffs, clear staff roles, frequent counts, limited cash exposure, and a closing plan. Most preventable loss happens during distraction and transitions, so load-in, demonstrations, meals, and breakdown need explicit rules.
The short version
- Every premium card should have one controlled path from storage to buyer and back.
- Assign roles before the room gets busy.
- Treat vehicles, hotels, and breakdown as part of show security.
How should premium inventory move through the show?
Transport cards in closed, unbranded containers that remain under direct control. At the table, count cards into a case and keep the opening on the vendor side. Hand out one premium card at a time unless another staff member takes responsibility for the second card.
Use a spoken handoff between helpers. The person opening the case says which card left and who has it. Silent assumptions are how two simultaneous conversations become an uncertain count.
Where do distraction losses happen?
Risk increases during setup, a rush, a multi-card comp, a trade pile, a meal break, and closing. Keep bags zipped, limit personal items behind the table, and do not let a customer-created stack cover case edges or other cards.
- Use one checkout point instead of moving cash across the table.
- Count a case after any confusing or interrupted handoff.
- Keep keys attached to the responsible person, not on the table.
- Have a phrase that pauses all demonstrations when the table becomes overloaded.
What is the closing and transport plan?
Count high-value inventory before packing and again after loading. Avoid advertising the route, hotel, or vehicle holding inventory. If an overnight stay is required, plan secure storage before the trip instead of deciding in the parking lot.
Write down promoter security contacts and the local non-emergency number. If a loss occurs, preserve times, photos, serial numbers, cert numbers, witnesses, and payment records while details are fresh.

Frequently asked questions
Are locking display cases enough for card show security?
No. Locks help when the case is closed, but loss often happens during handoffs, setup, distraction, and transport. Use cases as one layer in a complete process.
Should vendors use cameras at the table?
Ask the promoter and venue about rules before recording. A camera does not replace controlled handoffs, counts, and staffing, and footage must be handled consistently with applicable privacy laws.
How much cash should stay visible?
Only what is needed for current checkout. Separate the operating float from accumulated receipts and move excess cash according to a planned, discreet routine.
